Delegates and Volunteers
Delegates who submit applications to attend an international or special convention of Jehovah’s Witnesses have provided personal data, such as their name, date of birth, address, phone number, and other information. Delegates have already agreed in their applications to the use of this information by the branch office of Jehovah’s Witnesses hosting the convention including by those individuals serving on and working with hospitality committees who schedule events and activities in conjunction with the convention. Additionally, the delegates consent to the transfer of their personal data to their selected hotel, its associated entities and third party providers, for the processing of their reservation and for any other necessary purposes for their stay at the hotel. The delegates agree that these data transfers may also include the transfer of the delegates’ personal data to a branch office hosting a convention in a country or to an entity in a country that does not provide the same levels of data protection as the country that the delegate currently resides in.
Individuals who volunteer to assist the branch office in hosting the convention submit on this website information such as their name, date of birth, address, phone number, and other information. By submitting their information on this website, volunteers agree to have their information used by the branch office of Jehovah’s Witnesses hosting the convention including by those individuals serving on and working with the hospitality committees.
Delegates and volunteers can access the personal data they submitted in the login section of this website. Hospitality committees also have access to the personal data of both delegates and volunteers on this website as needed so they can care for the needs of delegates attending a convention in their area and contact volunteers for assistance. The delegates’ personal data is used exclusively for caring for travel, travel-related needs, and the organization of activities of delegates during and in conjunction with the convention. The volunteers’ personal data is used exclusively for volunteer services in connection with the convention and any convention-related activities.
Each hospitality committee will have access only to the personal data of delegates assigned to the convention being hosted in their city and volunteers for that convention. The data will be used exclusively for convention planning and convention-related activities, and will be deleted after the convention as soon as it is no longer needed.
Delegates and volunteers may choose not to provide their personal data or may request that their personal data be removed from this website. In this event, a delegate may no longer qualify to attend the convention or a volunteer may not qualify to provide volunteer services.
Delegates and volunteer workers acknowledge that during the preparation of the event, the event itself and the accompanying program photographs and audiovisual footage containing their personal depiction may be taken. The footage and images will be posted on this site and can only be accessed by logged-in users from among approved delegates and volunteer workers. Delegates and volunteer workers may request the removal of a photograph. Contact details for submitting such a request can be found on the Use of Personal Data – Czech Republic page.
